Venue and Equipment Use Guidelines
Venue Reservation
Venue reservations for on-campus users should be made through the personal portal system.
For off-campus users, please contact the responsible staff at (03) 463-8800 ext. 2014.
Applications for venue use must be submitted at least seven (7) days in advance. Venues managed by the Office of General Affairs are available for off-campus rental only during holidays and semester breaks.
External organizations filming on campus must agree to comply with the university’s rental regulations, provide details of participant and vehicle numbers, and take responsibility for traffic and safety coordination within the campus.
Venue rental is charged by time slot, with three daily sessions:

Morning: 8:00–12:00

Afternoon: 13:00–17:00

Evening: 17:00–22:00
Classrooms are subject to power control management; electricity is supplied 20 minutes prior to use. Air conditioning and lighting power are managed based on usage type. Only university-scheduled classes, exams, make-up sessions, student–advisor meetings, or internal meetings are automatically powered. Other uses require purchased power cards.
Official university courses have first priority in classroom use. To ensure fair access, non-course users may reserve the same classroom no more than three days per week; users who book once a week may reserve up to four times per month, after which a new application is required.
Open fires or activities involving flames are strictly prohibited without prior authorization.
Equipment and Item Borrowing
Equipment reservations for on-campus users are handled through the personal portal; external users may contact the responsible staff at (03) 463-8800 ext. 2014.
The following items are available for borrowing: long tables, folding chairs, poster stands, trash bins, tablecloths, beach tables, beach chairs, beach tablecloths, insulated tea dispensers, university flag, and national flag.
Items are for on-campus use only and must be returned within two (2) working days after the event.
The display of flags or banners on campus is limited to a maximum period of two weeks.
